Use this method if you are a delegate for another user's mailbox or when you have permissions to several folders in a shared mailbox. You can also use this method when you have full access permissions to a mailbox.


Checking the setting Sync shared mailbox will allow Outlook to synchronize the shared mailbox without requiring the user to click Send/Receive. This setting was added in version 16.13.411. Enabling this setting is highly recommended for users who use their own credentials to access a shared mailbox.


The following table summarizes the permissions options that may be available for a shared folder or mailbox, and the best method for opening the shared folder or mailbox based on the corresponding permission.


As an alternative to these methods, you can add another Exchange account by using additional mailboxes credentials. This method is not recognized as adding a shared mailbox, because you are adding the additional account by using its own credentials. To open the additional Exchange account, follow these steps:

Prior to September 2021, this was not possible. I figured this out because in March 2021 I created a shared mailbox in an Exchange Online (office 365) admin center (no on-premise) and while Outlook users using Windows were able to get the shared mailbox to show up, one Mac user was not able to get the mailbox to show up.


If you get an error message when trying to add a shared 365 mailbox in New Outlook for Mac, try this.* Switch to old Outlook.* Add the shared mailbox there.* Switch back to the New version.


For us this brought the mailboxes in. However, and it is a big however, we had to re-enable Exchange Web Services in order for old Outlook to connect at all. As Microsoft is going to kill EWS early 2023, this workaround may have a limited shelf-life!

Note: If you have permissions to custom folders in the mailbox but not to the top-level mailbox folder, the custom folders will not appear in the folder list. Only default folders that you have permissions to, such as Inbox, Sent Items, Deleted Items, and Calendar, will appear in the folder list without top-level mailbox folder permissions.

Currently Outlook can support up to 10 attached shared mailbox's. On windows you can increase this limit through a registry tweak but this is not recommended as outlooks performance will become severely degraded due to the size of the local .ost file that will build up.

There may however be some shared mailbox's in the environment that were never set with with this flag. Please add those mailbox's manually and submit a ticket to the Systems team so we can set the security group to automatically add the mailbox locally.

Resetting the address book is a way to manually pull down the latest mailbox's and permission schema's from o365. This can be useful if a mailbox has successfully completed syncing to the cloud but the data is not yet on the local mailbox file. It can possibly allow you to manually attach a mailbox quicker than expected.


One of our users uses a mac and switched to "new Outlook". When he is in the shared mailbox the Addin can be opened once. (Right after opening the personal mailbox) After that the Icon is greyed out and it cant be opened again (only when switching to the personal mailbox and back) . There are two ways to add a shared mailbox in Outlook (Duke-supported versions of Outlook). This KB is to distinguish the differences/ advantages of using one way over the other, and then instruct a user how to connect a shared mailbox using either way.


The first option will add the mailbox more for viewing purposes. You will be able to read email from the shared mailbox but whenever you want to send an email "from" the shared mail box, you would always have to click on "from" button and drop the box down from your personal email to the shared mailbox email. Also, your shared mailbox sent mail and deleted mail will always be in your personal sent and deleted mail folders.


The second option will add the mailbox so that you are "acting" as this particular mailbox. If you are in the shared mailbox for example, the "from" field will automatically default to the shared mailbox (no manual drop-down necessary) and the sent and deleted items will show up in the shared mailbox's sent and deleted item folders instead of your personal sent and deleted items folders. 2ff7e9595c
